Job Offers
Non-Exempt and Exempt Employee Job Offers will originate in Human Resources or the Chancellor’s Office.
New Hires
Please notify HR when you hire a new, hourly employee by completing and signing the Pay Advice form as your authorization to hire. This form MUST be submitted to HR prior to an employee beginning work.
Please advise new employees who have not previously worked on campus to schedule an appointment with HR to complete all new hire paperwork prior to beginning work.
Work Study Employees
All Pay Advice forms for work-study students will be reviewed by Financial Aid. Be sure you have communicated clearly with Financial Aid regarding your intent to hire, terminate or make other changes regarding any work-study employees in your department.
Changes in Information
Changes in funding account numbers, pay rates, work areas, and other similar actions will require completion of the Pay Advice. This signed formed will be our authorization to make the change requested and will serve as the documentation required by Internal Auditing for changes made in the system.
Processing Payroll
Supervisors are responsible for approving all timesheets in Kuali Time.
Paying employees correctly and timely is our goal, but we cannot do it without your help. We appreciate your cooperation.
Employment Actions
If you need to take an employment action regarding an employee, complete the Pay Advice and indicate the appropriate action reason. If you are unsure of the appropriate action reason, please contact Shannon Snapp 765-973-8314 or Tamika Bynum 765-973-8487 for assistance.
Terminations
If you are terminating an employee, you must complete the Pay Advice and include a description of the reason in the “Termination Reason” section. If you need to terminate an hourly employee “for cause”, please contact Shannon Snapp, Human Resources Business Partner (HRBP) to discuss the situation first: shsnapp@iu.edu. The decision to terminate any appointed staff would require additional documentation prior to the final decision.
Exit Interview Process
When Human Resources is notified of an employee's resignation, the HRBP will provide the employee with the Separation Checklist and an invitation to complete the Exit Survey via Qualtrics. Employees may also request a one-on-one meeting with the HRBP prior to their final day. Participation in the exit survey may be anonymous. Feedback will be aggregated and shared quarterly with senior administration.
